Order entry is the process of receiving customer orders and recording them accurately so the business can fulfill them. Its main functions include:
- Receiving orders: Accept orders by phone, email, website, sales representative, or in person.
- Checking details: Confirm the customer, items, quantities, prices, delivery address, and requested date.
- Entering the order: Record it in the sales or order management system.
- Checking availability: Confirm inventory or coordinate with purchasing or production.
- Applying terms: Verify discounts, payment terms, taxes, and shipping charges.
- Resolving problems: Clarify missing information, unavailable items, or pricing differences.
- Sending confirmation: Provide the customer with an order number and expected fulfillment details.
- Updating orders: Record approved changes, cancellations, and backorders.
- Coordinating fulfillment: Pass accurate information to the warehouse, production, shipping, and billing teams.
The goal is to turn each customer request into an accurate, actionable order that can be delivered and billed correctly.
