Managing Grievances

Handling grievances means receiving and resolving employee concerns about workplace issues, such as treatment by a supervisor, working conditions, or how a policy was applied. Its main functions include:

  • Receiving concerns: Give employees a clear way to raise an issue.
  • Documenting the complaint: Record what happened, when, and who was involved.
  • Reviewing the facts: Speak with the people involved and examine relevant records.
  • Protecting privacy: Share information only with people who need it to address the concern.
  • Deciding on a response: Determine whether a policy was violated and what action is appropriate.
  • Communicating the outcome: Explain the decision to the employee as far as confidentiality allows.
  • Following up: Check that agreed actions were completed and the problem has been addressed.
  • Tracking patterns: Use recurring complaints to identify policies or practices that need improvement.

The goal is to address concerns promptly, fairly, and consistently so employees have confidence that they will be heard.
